Information on the processing of personal data

of the users visiting the websites, pursuant to Article 13 of the Regulation EU 2016/679 (“GDPR”)

Why this information

According to Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016, “General Data Protection Regulation” (hereinafter “GDPR”), on this page describes the methods of processing personal data of users who consult the websites, accessible by computer, starting from the following addresses:

Visiting the websites listed above may result into processing data relating to identified or identified natural persons.

The information provided does not concern other sites, pages or online services, external to the aforementioned domains, which can be reached through hypertext links, or links, published in pages or articles of the websites in question.

Legal basis for the processing

The personal data mentioned on this page are processed by IMACS, in the execution of its activity, on the legal basis of the terms of service, or by law, in compliance with the provisions and obligations imposed by the GDPR.

Purposes of the processing

Personal data is collected for the performance of the following activities:

International Association for Mathematics and Computers in Simulation services for establishing and organization some permanent means of communication between the members of the scientific community from different parts of the world; Services for the collection and publication of scientific articles; Services of organization and management of the IMACS World Congress, and all related services; Answers to contact requests; Scheduling of activities.

We do not perform profiling on our website and do not use personal data for marketing purposes.

For any further purposes, indicated on specific pages, the relevant information on the specific processing is published and any consent from the user is collected.

Categories of personal data

Browsing data

The information systems and software procedures relied upon to operate on our website acquire personal data as part of their standard functioning; the transmission of such data is an inherent feature of Internet communication protocols.

This information is not collected to be associated with identified interested parties, but by their very nature could, through processing and association with data held by third parties, allow users to be identified.

This data category includes the IP addresses and/or the domain names of the computers and terminal equipment used by any user, the URI/URL (Uniform Resource Identifier/Locator) addresses of the requested resources, the time of such requests, the method used for submitting a given request to the server, returned file size, a numerical code relating to server response status (successfully performed, error, etc.), and other parameters related to the user’s operating system and computer environment.

These data are necessary to use web-based services and are also processed in order to extract statistical information on service usage (most visited pages, visitors by time/date, geographical areas of origin, etc.) and check functioning of the services.

The data could be used to ascertain responsibility in case of hypothetical computer crimes against the site. Unless this eventuality, the browsing data are kept for no longer than seven days.

Data communicated by users

Sending messages, on the basis of the user’s free, voluntary, explicit choice, to the contact addresses on our website entail the acquisition of the sender’s contact information, which is necessary to provide a reply, as well as of any and all the personal data communicated in that manner.

Users who register on our websites, we also store the personal information they provide in their user profile; we will keep this data for the period of user’s association (typically one year). All users can see, change or delete their personal information at any time (except change their username). Website administrators can also see and edit this information.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from posted images.

An anonymized string created based on your email address (also called a hash) can be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available at this address: https://automattic.com/privacy/. After your comment has been approved, your profile picture is visible to the public in the context of your comments.

Specific information notices will be displayed on the pages of the websites that are used for providing certain services.

Cookies and other tracking devices

IMACS uses its own technical Cookies on the website in question (or application) to the extent strictly necessary to provide the user with its services.

So-called session (non-persistent) cookies are used exclusively to the extent this is necessary to enable secure, efficient browsing. Storage of session cookies in terminal equipment or browsers is under the user’s control, whilst cookie-related information is stored server-side after HTTP sessions in the service logs for no longer than seven days like all other browsing data.

Possible profiling cookies (of third parties) to send advertising in line with your preferences, may be used by other sites, pages or external services, incorporated or linked in pages and articles of the websites in question.

Data recipients

The recipients of the data collected from the navigation are designated Data Processors, pursuant to Article 28 of the GDPR. For our website we have designated the following subjects:

– IMACS independently manages the content publishing and maintenance services of the web platform; – Gandi SAS, as a provider of web hosting services for the web platform. – IAC-CNR (Istituto per la Applicazioni del Calcolo del C.N.R.) as thecnical support. The complete list of data Processors pursuant to Art. 28 of the GDPR can be requested from the Data Controller from the contact page.

Processing methods

Personal data is processed by automated tools, for the time strictly necessary to achieve the purposes for which it was collected, and subsequent processing by qualified and authorized personnel.

Specific security measures are observed to prevent the loss of data, illicit or incorrect use and unauthorized access.

Retention period

The navigation data will be stored for a period of seven days, unless for other necessary fulfilments such as in the case of investigations for computer crimes against the site.

The personal data communicated by the user will be stored for a period of two years from the last contact, unless for different legal or contractual obligations.

At the end of the retention period, personal data will be deleted or transformed into anonymous information for statistical purposes.

Data Subject’s rights

Data subjects have the right to obtain from IMACS, where appropriate, access to their personal data as well as rectification or erasure of such data or the restriction of the processing concerning them, and to object to the processing (Articles from 15 to 22 and Article 7 of GDPR).

This is the summary list of the rights present in the EU Regulation 2016/679 (“GDPR”):

  • Right of access.
    You have the right, as an interested party, to obtain confirmation from the Data Controller that personal data concerning you is being processed or not and, in this case, to obtain access to all information concerning you, as reported Art. 15 of the Regulation.
  • Right to rectification.
    You have the right, as an interested party, to obtain from the Data Controller the correction of inaccurate personal data concerning you without undue delay, based on Art. 16 of the Regulation.
  • Right to erasure («right to be forgotten»).
    You have the right, as an interested party, to obtain from the Data Controller the cancellation of personal data concerning you, without undue delay, when they are no longer necessary for the purposes for which they were collected, and if there is a legitimate reason, based on the Art. 17 of the Regulation.
  • Right to restriction of processing.
    You have the right, as an interested party, to obtain from the Data Controller the limitation of the treatment, in the event of a dispute of accuracy, or illegal treatment, or defense in court, or in the other cases described by Art. 18 of the Regulation.
  • Notification obligation in case of correction or cancellation of personal data or limitation of treatment. The Data Controller informs each of the recipients to whom the personal data have been transmitted, of any corrections or cancellations or limitations of the processing, as required by Art. 19 of the Regulation.
  • Right to data portability.
    You have the right, as an interested party, to receive in a structured, commonly used format, the personal data concerning you provided to a Data Controller and you have the right to transmit such data to another Data Controller without impediments, in the event that the processing is carried out by automated means, as specified in Art. 20 of the Regulation.
  • Right to object.
    You have the right, as an interested party, to object, at any time, for reasons related to your particular situation, to the processing of personal data concerning you, in the case of public interest, or for direct marketing, as reported in Art. 21 of the Regulation.
  • Automated individual decision-making, including profiling.
    You have the right, as an interested party, not to be subjected to a decision based solely on automated processing, including profiling, which produces legal effects that concern you or which significantly affects your person in a similar way, as reported in Art. 22 of the Regulation.
  • Right to withdraw consent.
    You have the right, as an interested party, to withdraw your consent to the processing at any time, without prejudice to the lawfulness of the processing before the revocation, as reported in Art. 7 of the Regulation.

Right to lodge a complaint

If a data subject considers that the processing of personal data relating to him or her as performed via our website infringes the GDPR, he or she has the right to lodge a complaint with the competent Supervisory Authority (on Italy: the Italian data protection authority), pursuant to Article 77 of the GDPR itself.
